Enrolling at our school

 

Our main enrolment intake is at Year 7 and students are well supported in our Junior Secondary environment, a phase of schooling tailored to meet the specific needs of early adolescents.

 
A small number of places may be available in other year levels throughout the school year.  We welcome your enroment application but an application does not guarantee a place at the school will be offered to the student.  Places will be offered subject to availability in particular year levels. The school is currently at capacity and it is unlikely your student will be able to select all of their preferred subjects.

School tours commence outside our main administration office, accessed off Russell Street, and last for approximately 1 hour.   You must RSVP to be included on a school tour and students are welcome.  Call the school office on 3824 9222 to reserve your place.
 
School tours can be weather dependent, so please check our Facebook updates or call the school office if you have any concerns on the day of your tour.
 

Year 7 Application Process

If you would like your student to commence Year 7 at CDSHS you need to collect an enrolment application pack when your student is in Year 6.  Enrolment packs must be collected from the school Reception; they cannot be posted, emailed or downloaded from our website.

Enrolment packs for 2019 Year 7 will be available for collection from the office from Monday, 23rd April 2018.  Due to the size and format of these documents they are unable to be posted or emailed. A staff member has visited all of our catchment 
schools in the week ended 27th April to distribute enrolment application packs to all Year 6 Students.  
 
Students who reside outside our catchment area are welcome to submit an enrolment application.  The enrolment pack for 2019 Year 7 contains an additional page which needs to be completed for students who reside outside our catchment area.

Please note your student's enrolment application cannot be submitted without all of the supporting documents, including your student's 2018 Semester 1 School Report.  Two sets of documents need to be provided when submitting your enrolment application:  original documents to be sighted and copies of documents to be kept with the enrolment application pack.

 

2019 Year 7 Enrolment - Key Dates

Wednesday, 2 May 2018  - Year 6 into Year 7 Parent Information Night.  To be held in the Smith Street Community Hall at 7.00pm

Monday, 28 May 2018 - Sports Development Trial for 2019 Year 7 Students who did not trial on Tuesday, 27th March.  On main oval or hall - 3.30pm - 5.00pm.  Students may trial for one sport only:  Volleyball, Touch Football or Football.  All students must pre-register in order to trial.  Go to: www.schoolinterviews.com.au and use code (case sensitive): neapw

Friday, 27 July 2018  - Closing date for lodgement of Year 7 enrolment applications to Cleveland District SHS administration office.  All applications must be lodged in person at our administration office.  Applications made via email or post will not be accepted and will be returned to the sender.

Please note that incomplete applications, or applications that are not accompanied by all necessary documentation cannot be accepted and will be returned to you.  Please see the section below regarding Compulsory Supporting Documentation.

Wednesday, 26 September 2018  - Parents and students will be notified in writing of the outcome of their enrolment application.

 

Other Year Levels - Application Process

Parents/guardians  wishing to enrol their student during the school year in any year level can collect an Enrolment Application Form from school reception or download it from the Quicklinks section on the right side of this page.  Please note: CDSHS is an enrolment managed school because of high demand for our programs and pressure on enrolment capacity.
 
 
Your completed Enrolment Application, together with the supporting documentation, must be submitted at school Reception by at least one enrolling parent or legal guardian, between the hours of 8:00am and 3:30pm.  Enrolment Applications will not be accepted by mail and will be returned, by standard mail.  Enrolment Applications will not be accepted by email.  Please note that incomplete applications, or applications that are not accompanied by all necessary documentation cannot be accepted and will be returned to you.
 
 
Once submitted, your completed Enrolment Application and supporting documentation will be forwarded to our Enrolment Committee.  As a guide, most applications will receive a written response regarding the outcome with 5 to 10 working days.  In some instances, additional information may be requested and can extend this timeline.

Compulsory Supporting Documentation

All enrolment application forms must be accompanied by a number of documents to support the application.  Original documents, and a photocopy, are required for all applications to enroll at CDSHS.

 

Original documents must be sighted for all applicants, to confirm the child is eligible to attend a State School without paying full fees (as would be the case for fee-paying overseas students).
These documents include:
• Compulsory Parent or Legal Guardian identification documentation;
• Compulsory Student identification and reporting documentation;
• Compulsory Principal Place of Residence documentation; and
• Optional Student Achievement documentation.

 

Compulsory Parent Identification documentation

Passport or Queensland Electoral Commission enrolment confirmation for each enrolling parent.  Originals must be sighted and a copy must be provided to the school.
 

Compulsory Legal Guardian documentation

a) Current court orders or other legal document appointing the enrolling adult/s as the legal guardian/s.  Original must be sighted and a copy must be provided to the school; and
 
b) Passport or Queensland Electoral Commission enrolment confirmation for each enrolling legal guardian.  Originals must be sighted and copies must be provided to the school.
 

Compulsory Student documentation

a) Birth Certificate (with official translation, if necessary) or current Passport.  Original must be sighted and a copy must be provided to the school.
 
b) Report Cards – most recent three (3) semesters School Report Cards.  If you have misplaced the student’s report cards, please contact the school that issued them, they can usually be reissued to you.  Due to privacy laws, CDSHS staff are unable to contact other schools on your behalf.  Originals must be sighted and copies must be provided to the school.
 
c) NAPLAN – most recent NAPLAN report.  If you have misplaced the student’s NAPLAN report, please contact the school that issued it, NAPLAN reports can usually be reissued to you.  Due to privacy laws, CDSHS staff are unable to contact other schools on your behalf.  Original must be sighted and a copy must be provided to the school.
  

Compulsory Principal Place of Residence documentation

CDSHS has a strong commitment to students from the local area.  The documentation parents or legal guardians are required to provide will depend on whether your student meets the in-catchment enrolment criteria or the out-of-catchment area criteria. 
 
In-Catchment Enrolment Applications
To be eligible for enrolment under the in-catchment area criteria, parents or legal guardians need to fully demonstrate the student’s principal place of residence is genuinely within the defined local catchment map area. 
 
Various documentation to support an in-catchment application is weighted using a ‘points’ system and a minimum 100 points of proof of residential address is required with each enrolment application.  Originals of each document must be sighted and copies must be provided to the school.  The Enrolment Committee may request any additional documentation and conduct other enquiries deemed necessary to satisfy eligibility criteria.
 
Weighting of compulsory principal place of residence in-catchment documentation is as follows:

 80 points:  Home Owner – current rates notice showing identical mailing and residential address.  Rates notices showing a different property address and mailing address will not be accepted, including PO Boxes.
 
• 80 points:  Lease Holder – full residential lease agreement that is current (with a minimum of 3 months prior to the date of application and 12 months overall), type-written, commercially drawn, arms-length and in the name of the parent/s or legal guardian/s only; together with the Bond Receipt issued by the Residential Tenancies Authority (RTA).  Private and/or hand-written rental lease agreements are not accepted.
 
• 20 points each:  most recent, concurrent three (3) bills – and evidence of payment – for either electricity, gas, internet, telephone or equivalent (demonstrating reasonable levels of usage as compared to other households).
 
• 20 points:  A current, paid up home and/or contents insurance policy
 
• 40 points:  A properly sworn Statutory Declaration from the enrolling parent/s or legal guardian/s attesting the student’s principal place of residence is the place nominated in the enrolment application and the expected duration of the arrangement, together with a properly sworn Statutory Declaration from the owner of the property attesting it is the student’s principal place of residence and the expected duration of the arrangement, together with the current rates notice for the property.
 
 
Out-of-Catchment Enrolment Applications
To be eligible for enrolment under the out-of-catchment area criteria, parents or legal guardians need to provide proof of the student’s principal place of residence address.  Originals of each document must be sighted and copies must be provided to the school.    Acceptable documents are:
 
Home Owner – a current rates notice showing the residential address noted on the application OR

Lease Holder – a full residential lease agreement that is: current, type-written, commercially drawn, arms-length and in the name of the legal parents or guardians.  A lease will preferably be for a period of 3 months prior to the enrolment application and extend to 12 months after the students proposed enrolment date.  Private rental lease agreements are not accepted.
 

Optional student achievement documentation

 Additional documentation may be provided to support a student’s selective entry based on academic, sporting, performing arts or visual arts merit.  The enrolment committee will consider any additional information provided with an enrolment application.  Please note these documents cannot be returned to you.  In the instance of original artwork, please make arrangements for return of the artwork when submitting your enrolment application.
 
 

Decision on Enrolment

The Enrolment Committee is responsible for all decisions on out-of-catchment enrolments and their decision on selection will be final.  There is no internal review of the Enrolment Committee’s decision.
 
The Enrolment Committee is responsible for all decision on enrolments and may request any additional documentation and conduct other enquiries deemed necessary to satisfy eligibility criteria.
 
Where the Enrolment Committee forms a preliminary view that an application will not satisfy the conditions of enrolment, applicants will be notified in writing.  The applicant may respond to the Enrolment Committees preliminary view by making a written submission to the Executive Principal, no later than ten (10) days after the preliminary view letter was issued.
 
If no submission is received, the Enrolment Committee’s preliminary view will be treated as the final decision and no further notice will be provided.
 
If a submission is received, the Executive Principal will consider the submission and make a final decision.  A final decision notice will be provided to the applicant as soon as is practicable.
 
There is no review of the Executive Principal’s decision.
